How it works
From client request to closed contract, step by step
Every manpower contract in BlueforceOps follows the same nine steps, grouped into three phases. Below, we follow one real-world example from the first request to the day the workers are released.
Simplified workforce management
Coordinated employee deployment
Smoother daily operations

How to read each step
What happens The task, in plain words
In our example 20 masons and 5 helpers for a contractor
Handled in The module that does it
1 Phase 1 of 3
Win the work
Turn a client's request into a confirmed, priced order. Nothing is promised to the client until the quotation is approved and the LPO is on file.
Who is involved Sales, with management approving quotations
You finish with An approved quotation and the client's LPO, linked to the original request
Step 1 of 9
Capture the requirement
A client asks for manpower. Sales logs the request against the client and project, broken down by trade and headcount.
In our example The contractor asks for 20 masons and 5 helpers for six months. Sales records it as one requirement with two trade lines.

Step 2 of 9
Quote and get approval
A quotation is built from a saved template and goes through internal approval before it reaches the client.
In our example Rates for masons and helpers come from the template. A manager approves the quotation, then it is sent.
Handled in Requirements, Quotations & LPOs
Step 3 of 9
Confirm with an LPO
The client's purchase order is uploaded and linked to the demand, so delivery can be checked against what was ordered.
In our example The contractor's LPO for 25 workers is uploaded. Operations is notified that a confirmed demand is waiting.
Handled in Notifications & Alerts
LPO confirmed. The order passes to operations.
2 Phase 2 of 3
Deliver the manpower
Put the right workers on site with their paperwork in order, give them a bed, and record every day they work.
Who is involved Operations, HR, camp supervisors and labour suppliers
You finish with Workers on site with complete documents, housed in camp, with daily attendance running
Step 4 of 9
Book the workers
Workers are booked against the order, from your own workforce or from approved supplier workers.
In our example 18 masons and all 5 helpers come from your own pool. The last 2 masons are booked from an approved supplier.
Handled in Requirements, Quotations & LPOs
Step 5 of 9
Mobilize with documents ready
A worker can only be mobilized once their document checklist is complete. Each one is given a camp, room and bed if needed.
In our example HR checks passports, visas and Emirates IDs for all 25. One worker waits for a renewal; the rest move into Camp 2.

Step 6 of 9
Track attendance on site
Attendance is entered every day for each site, and changes on the ground are recorded the same day.
In our example Site attendance is entered each morning. When a mason goes on leave, a replacement is swapped in and the change is logged.
Handled in Attendance & Timesheets
Attendance recorded every day. The contract is ready to close.
3 Phase 3 of 3
Review and close
Turn recorded attendance into timesheets, check how the contract ran, and release the workers for the next job.
Who is involved Operations, HR and management
You finish with Timesheets the client accepts, a clear record of the contract, and workers free for the next job
Step 7 of 9
Produce timesheets
Recorded attendance becomes project timesheets, ready to check with the client and download.
In our example At month end the project timesheet is built from 30 days of attendance, with no retyping.
Handled in Attendance & Timesheets
Step 8 of 9
Review how the contract ran
Managers compare what was ordered with what was delivered, and spot problems before the contract closes.
In our example The report shows 25 workers ordered and 25 delivered, and how many days each trade worked.
Handled in Reports & Dashboards
Step 9 of 9
Demobilize and free up workers
When the contract ends, workers are demobilized, checked out of camp and made available for the next job.
In our example After six months the 25 workers are demobilized and checked out of camp, ready to be booked again.
